Types of Conference Hall Chair
The right choice depends less on how the hall looks and more on how often it has to be reset.
Stackable Shell Chairs
Injection-moulded polypropylene shell on a tubular MS or aluminium frame. Light, cheap, stacks 10-12 high on a trolley, survives being dragged. The workhorse for school halls, exam halls and community spaces.
Upholstered Banquet Chairs
Moulded foam seat and back with fabric or leatherette over a ply shell. Considerably more comfortable for a two-hour sitting, stacks 6-10 high, and presents far better for parent-facing and external events.
Tablet-Arm Training Chairs
Folding writing surface on the arm, so no tables are needed. Roughly halves the floor area a training layout consumes. Specify pad size against the paperwork it must actually carry, and order some left-hand units.
Visitor & Cantilever Chairs
Fixed-leg or sled-base chairs with arms, for smaller conference rooms and staff meeting rooms where the layout rarely changes and chairs are not stacked away.
Boardroom Chairs
Medium or high-back revolving chairs with gas lift, synchro tilt and arms, conforming to the office-seating standard IS 17631. For the board room, the principal's conference table and the management meeting room.
Linking Hardware
Clip or hook ganging that locks chairs into a straight row. Inexpensive, and the only reliable way to keep aisles clear and rows aligned through an examination or a public event.

Area Per Person by Layout
Use these to size the hall or to work out how many people a hall you already have can genuinely hold. Figures include aisles and circulation but exclude stage, registration and catering.

Fixed Seating or Loose Chairs?
This is the decision schools most often get wrong, and it is worth twenty minutes of honest discussion before the order. Fixed auditorium chairs are more comfortable, look considerably better, need no storage, cannot be stolen or shuffled out of line, and last longer per rupee spent because nobody drags them. They also make the hall a single-purpose room for the next fifteen years.
Loose chairs cost less per seat, let the hall be four different rooms, and can be replaced in batches as they wear. In exchange you accept a store room, a labour cost every time the hall is reset, rows that drift out of alignment unless linked, and a hall that never looks quite as finished.
The question that settles it is simple: over a school year, how many days is the hall used facing the stage, and how many days is it used as something else? If the answer is heavily weighted to the stage, fix the seating. If the hall is genuinely multi-purpose - and in most schools it is - buy good loose chairs with ganging hardware and a proper trolley store, and spend the difference on the sound system and acoustic treatment, which improve every use of the room.
The hybrid is often the best answer on a larger hall: fixed seating across the rear two-thirds where the floor can be raked and the view is always towards the stage, and a flat, clear front zone that takes loose chairs, exam desks or nothing at all depending on the week.

Should a school hall use fixed auditorium seating or loose conference chairs?
It depends on how many different things the hall has to be. If it is genuinely an auditorium - assembly, annual day, guest lectures, always facing the stage - fixed tip-up seating is more comfortable, more durable per rupee and looks better. If the hall also has to become an exam hall, a training room, a banquet space or a badminton court, loose linkable chairs are the only workable answer, because fixed seating makes those other uses impossible. Many schools end up with a hybrid: fixed seating in the rear two-thirds and a flat, clear front zone with loose chairs.
How many conference chairs fit in a hall?
It depends entirely on the layout. As working planning figures, allow roughly 0.8 to 1.0 sqm per person in theatre layout, 1.5 to 2.0 sqm in classroom layout with tables, 2.0 to 2.5 sqm in U-shape, and 1.5 to 1.8 sqm in banquet rounds - all inclusive of aisles and circulation but excluding the stage, the registration area and the catering zone. A 200 sqm hall therefore seats roughly 200 in theatre but only around 110 in classroom layout.
What is a linking or ganging chair?
Linkable chairs have a hook or clip on the frame that locks each chair to its neighbours so a row stays straight and cannot be shuffled out of line. It is a practical requirement in a hall used for examinations or public events - rows stay aligned, the aisle stays an aisle, and evacuation routes do not disappear during the event. Ganging hardware is inexpensive and worth specifying even if you do not expect to use it every day.
Do conference chairs stack?
Most do, and the stack height determines how much storage you have to provide. A polypropylene-shell chair typically stacks 10 to 12 high on a trolley; an upholstered banquet chair usually 6 to 10. Work out the storage before you order: 200 chairs stacking 10 high is 20 stacks, which needs roughly 12 to 15 sqm of store with clear access. Chairs stored in the hall itself on trolleys are convenient but eat usable floor area.
What should we look for in a stackable chair?
Four things. The frame - tubular MS or aluminium of adequate gauge, powder coated after proper pre-treatment, with a stacking bumper so chairs do not mark each other. The shell - injection-moulded polypropylene with UV stabilisation if the hall gets direct sun, or a moulded ply shell if upholstered. The glides - nylon or felt glides matched to your floor finish, because steel feet will destroy a vitrified floor within a term. And the joint between shell and frame, which is where a cheap chair fails first; look for through-bolts with load-spreading washers rather than self-tapping screws into thin section.
Can we get tablet-arm chairs for training and exams?
Yes. A tablet-arm chair carries a folding or fixed writing surface on the right or left arm and removes the need for tables altogether, which roughly halves the floor area a training layout needs. For examinations, check the writing surface area against what your board requires - a small tablet is fine for a laptop-free training session but too small for a full answer booklet plus question paper. Order a proportion of left-handed units; ten to fifteen percent is the usual figure.
