Where the Money Actually Goes

A 60-seat, 31-machine lab in a 25 by 30 foot room - about 70 square metres - costed in Bengaluru in 2026. Total, including 18 percent GST, was of the order of Rs. 42 to 43 lakh. This is how it split before tax.

Indicative figures for planning. Rates were built against CPWD Delhi Schedule of Rates for electrical and mechanical work (2025) and for civil work (2023), with a provisional location adjustment for Bengaluru, and against ex-GST dealer and street pricing for IT hardware and furniture, loaded for freight, installation and margin. They are a tender-safe basis, not flash-sale pricing, and they move with the market. Your own figure is confirmed only on a site survey and a current quotation.

The headline lesson: the computers were 56 percent of it. The other 44 percent was the room - power, backup, cabling, furniture, ceiling, paint, cooling, software and the labour to make it all work together. A school that budgets from a hardware quotation alone will be short by nearly half, and the shortfall lands late in the project when there is no money left to move.

Two things to read off that table. First, reusing a room that is already finished, wired and cooled saves roughly a quarter to 30 percent - which is why converting an existing classroom is usually better value than building new, provided the electrical supply and the ventilation can take it. Second, moving from two students per machine to one each roughly doubles the cost per seat, because you double the hardware, the power points, the UPS and the cooling and you need half as much floor area again. That is a curriculum decision with a very large price tag attached; make it deliberately.

What Actually Drives the Number

Machines per student

The biggest lever by a distance. Two students per machine is standard in Indian schools and roughly halves hardware, power, UPS and cooling against one machine each. Settle it first.

Whether the room needs work

Ceiling, paint, wiring, points, cooling and cabling are roughly a quarter to 30 percent of a turnkey lab. A room that is already finished and adequately supplied removes most of it.

Backup strategy

A proper online UPS for the whole lab is around Rs. 1.1 lakh. It is also the line schools try hardest to cut, and the one that causes the most grief when they do.

Warranty term

Three years of onsite manufacturer warranty costs more up front and removes three years of annual maintenance contract. Over five years it is usually the cheaper path.

Monitor size and specification

Thirty-one monitors is a real line. The step from 19 inch to 21.5 inch full HD is small per unit and worth taking; the step to IPS panels is noticeably more and is optional.

Network gear tier

An enterprise-class switch can cost double a competent small-business managed switch that will do everything a school lab needs. Specify the features, not the tier.

Second exit and fire compliance

A room holding more than fifty occupants usually needs a second exit under the National Building Code. Forming one in an existing wall is a real cost - get it flagged at survey, not at inspection.

Commissioning and documentation

Imaging, policy configuration, cable certification, as-built drawings and training are around 2 to 3 percent. Quotations that omit them are not cheaper, just incomplete.

Comparing Quotations Without Getting Caught

Computer lab quotations are unusually hard to compare because the scope varies so much more than the prices do. Six checks separate them.

Is the room in scope? Ceiling, paint, points, cabling, cooling. A quotation that is 30 percent cheaper is often simply a supply quotation sitting next to a turnkey one.

Is the UPS sized for the whole lab, or per desk? Small per-desk units look cheap on a spreadsheet and fail individually and silently. Ask for the kVA rating, the topology - online double conversion, not line interactive - and the autonomy in minutes at the design load.

Does the cabling come with a test report? A structured cabling job should hand over a permanent-link test pass for every drop. Without it you have no evidence the cable will carry gigabit, and no leverage when it does not.

What is the warranty, and is it onsite? Three years onsite from the manufacturer is very different from one year carry-in through the dealer. The difference shows up in year two.

Is commissioning included, per seat? Imaging, policy, domain or workgroup configuration, lab management software deployment and training. If it is not a priced line, it is not in the scope.

Is GST shown separately? At 18 percent on both goods and works contracts, a quotation quoted inclusive and one quoted exclusive look very different for no real reason. Normalise before comparing.

What does a school computer lab cost in India?

For a turnkey lab - room finishes, electrical, UPS, networking, furniture, air conditioning, software and commissioning as well as the computers - budget roughly Rs. 55,000 to Rs. 80,000 per seat including GST for a lab where two students share a machine, and roughly Rs. 95,000 to Rs. 1,30,000 per seat for one machine per student. A 60-seat, 30-PC lab in a room of about 70 square metres therefore lands in the region of Rs. 38 to 48 lakh all in. If the room is already finished and you only need computers, furniture and networking, expect roughly 70 to 75 percent of that figure.

Why is a turnkey lab so much more than the price of the computers?

Because the computers are only a little over half of it. On a 60-seat lab we costed in Bengaluru in 2026, the IT hardware - 31 desktops, monitors, peripherals and a network printer - came to about 56 percent of the pre-tax total. The remaining 44 percent was the room: electrical points and the online UPS at about 13 percent, furniture at about 12 percent, false ceiling and painting at about 5 percent, structured cabling and active network gear at about 5 percent, air conditioning at 4 percent, software and endpoint security at under 2 percent, and survey, imaging, commissioning, documentation and training at about 2 percent. Schools that budget only for hardware are typically short by close to half.

How many computers does a 60-student lab need?

Two students per machine is the normal Indian school arrangement and it is what lets a 60-seat lab fit in a 25 by 30 foot room. That means 30 student machines plus one teacher machine. One machine per student is pedagogically better for a senior computer science batch, but it roughly doubles the hardware cost, needs a considerably larger room, and pushes the UPS, the electrical load and the cooling up with it. Decide this before anything else - it is the single biggest cost driver in the whole project.

What should we budget per computer?

For a mid-level school desktop - a current-generation six-core processor, 16 GB of RAM expandable to 32, an NVMe solid-state drive with a hard disk alongside it, a 21.5 inch full-HD monitor, keyboard and mouse, a licensed operating system and three years of onsite manufacturer warranty - an indicative ex-GST figure is Rs. 60,000 to Rs. 70,000 per complete workstation. Do not specify a 19 inch monitor even if an old model specification allows it; the price difference to 21.5 inch full HD is small and 19 inch is below current commercial mid-level.

Is the UPS really necessary?

For a lab of this size, yes, and it is a larger line than schools expect. Thirty-one machines plus monitors is a design load of around 5 kW, which needs an online double-conversion UPS of about 6 kVA with an isolation transformer and a battery bank sized for the backup you want - an indicative Rs. 1.05 to Rs. 1.25 lakh ex-GST for the unit with around 30 minutes of autonomy. Small per-desk line-interactive units are a false economy in a lab: they fail individually and invisibly, they cannot hold a clean waveform for a room full of switching power supplies, and nobody replaces the batteries. The printer and the air conditioners go on raw power, not on the UPS.

Do we need air conditioning in the lab?

In Bengaluru, a room with thirty machines and sixty people generates a heat load in the order of four tons of refrigeration. Fans alone will let the room run well above comfortable between March and May, and heat is what shortens the life of the machines. Two 2.0 ton five-star inverter split units with stabilisers is the usual answer, at an indicative Rs. 62,000 to Rs. 70,000 each installed. If the budget cannot carry it in year one, at least provide the electrical points and the outdoor unit locations now.

How should we structure the purchase - one contract or several?

A turnkey lab is naturally two different kinds of buying. The IT hardware is goods and is well suited to GeM against a published model specification. The civil, electrical, furniture and networking work is a works contract. Many schools split it that way and run the two in parallel; others issue a single composite limited tender so that one party is accountable for the room working end to end. Both are legitimate. Note that GST is 18 percent on the goods and also on a works contract, so the tax outcome is broadly the same either way - the difference is accountability, not tax.

What are the running costs after handover?

Three lines. Electricity: the IT load plus the UPS is around 5 to 6 kW and both air conditioners add roughly another 3 to 3.5 kW when running, so a lab used six hours a day through a school year is a meaningful addition to the campus bill - work it out at your actual commercial tariff. Consumables: toner and paper for the printer. And maintenance: once the three-year onsite warranty lapses, an annual maintenance contract on the hardware is typically quoted at around 5 to 8 percent of the hardware value per year. Budget also for UPS battery replacement, which is a scheduled cost, not a surprise - VRLA batteries in a school lab are typically replaced every three to five years.
